Sharing with service providers

Leads that do not book are kept up to 24 months. Client project records are kept as required for business and tax. Download links may expire after a short time. Online galleries may be archived after 12 months unless stated otherwise in your agreement.

International transfers

Terms and Conditions

Using this website

By using this website you agree to these terms and our Privacy Policy. All content on the site is owned by Xavier Bau Weddings. You may not copy, modify or use our content for commercial purposes without written permission.

3. Quotes and bookings

Quotes are valid for 14 days unless stated otherwise. A booking is confirmed only after the retainer and a signed agreement are received. The retainer is typically 20 percent and is non-refundable because we reserve the date and turn away other work. The remaining balance is usually due 30 days before the event unless your contract states different terms.

4. Prices and fees

Prices are shown in USD or MXN. Travel, day passes, outside vendor fees and permits are the client’s responsibility unless your proposal says we cover them. Overtime is billed at the rate stated in your agreement.

5. Rescheduling and cancellation

Date changes are subject to availability and may require a new retainer. If you cancel, the retainer is non-refundable. Credits for force majeure or venue closures are handled in good faith according to local law and our contract.

6. Deliverables

Edited high-resolution photos are delivered through a private online gallery. Films are delivered by private link. Delivery times are estimates and appear in your agreement. We recommend downloading and backing up your files.

7. License to you

You receive a personal, non-commercial license to print and share your images with family and guests. Xavier Bau Weddings retains copyright. Commercial use requires written permission.

8. Portfolio and publicity

We may use images and films for our portfolio, website and social media. If you prefer private delivery only, tell us in writing before the event and we will respect it.

9. Client responsibilities

Provide accurate information. Secure required permissions and access at the venue. Coordinate timeline and point of contact. Vendor fees and drone permits depend on venue rules. For coverages longer than 6 hours, one hot meal and water per team member are appreciated on site.

10. Safety and working conditions

We work in safe environments only. We may pause or stop work if safety is at risk or if weather or venue rules prevent shooting.

11. Limitation of liability

Our liability is limited to the total amount you paid for the service that caused the claim. We are not liable for indirect or consequential damages. If equipment failure or other unforeseen events prevent delivery, our responsibility is limited to a refund for the affected portion or a reshoot when reasonably possible.

12. Third-party links and tools

We may link to external services such as galleries, payment processors or video calls. We are not responsible for third-party terms or content.

13. Governing law

These terms are governed by the laws of Mexico. Any dispute will be handled in Quintana Roo courts, unless the contract for your event states another method of resolution.
